Organization contracts

An outside organization (a department, employer, or club) pays you off-platform to train a group of people. CombatScore tracks who's covered, never charges them, and gives you reports to hand back.

Organization contracts

A Contract is for when an outside organization — a police department, an employer, a youth program — pays your gym to train a group of their people, and they pay you directly, off CombatScore. CombatScore's job is to track who's covered, keep those people from being charged by the platform, and give you clean reports to send back to the organization.

This is different from a Member Agreement (an individual member's term commitment with freeze/cancel terms). Contracts are organization-to-gym; Member Agreements are gym-to-member.

Find it under Gym → Contracts. You need to be an owner, co-owner, or a manager granted the contracts permission.

Creating a contract

Gym → Contracts → New contract. Fill in the organization name, an optional contact, the term dates, an optional seat cap, and the monthly value (what they pay you — this rolls into your finances). The rate is informational; CombatScore never charges the organization.

A new contract starts as a draft. Flip it to Active when it's in effect — that's what turns on off-platform billing for covered members.

Getting people covered

You have three ways to enroll the cohort:

  1. Add an existing member — pick someone already on your roster from the member picker.
  2. Enroll from CSV — upload a roster (name, email, optional date of birth + guardian email for minors). Each person gets an email to claim their own account, then they're covered.
  3. Self-serve invite link — generate one link, hand it to the organization's contact, they forward it to everyone. Each person signs up with their own personal account and requests a spot, which lands in your pending requests queue for you to approve. (See the self-serve link below.)

When someone is covered by an active contract, CombatScore marks them billed off-platform — they read as in good standing and are never invoiced or sent to dunning. See Off-platform billing.

The self-serve link + approval

The link is the most hands-off option for the organization, but you stay in control: nothing happens until you approve each request. We use approval (not an email-domain lock) on purpose — it keeps people on their own personal accounts, so if someone leaves the department you just drop them from the contract and their CombatScore account carries on. Generate, copy, or revoke the link any time from the contract; revoking stops new requests without touching anyone already covered.

One guardrail: if you approve someone who still has an active CombatScore subscription, we warn you (so they're not double-billed) and leave them on platform billing until you cancel that subscription. The nightly job reconciles them to off-platform once the subscription ends.

The contract document, value, and reports

Ending coverage

Remove a member, or mark the contract Expired / Terminated — either reverts those members to normal platform billing (they'll need a membership again if they want to keep training and paying you through CombatScore). Contracts past their end date expire automatically.
