Giving one member a special rate
Sometimes one person should pay a different price: a legacy member from before you raised rates, a family arrangement, a coach's partner. Adding an $80 plan to your public list would let anyone choose it. A special rate is private instead. It belongs to that one member, and it's applied when they subscribe.
Find it on the member's detail page: Gym → Members → [member] → Manage → Special rate. Owners and co-owners can set one, and so can any manager you've given the member-discounts permission.
Setting one
- Open the member's detail page and choose Set a special rate.
- Pick the plan, then enter what they'll pay per month (for example
80). The preview shows the change, like $150.00 → $80.00 (−$70.00).
- Choose every month or first month only.
- Add a private note if you like (only your staff sees it), then Save rate.
- Send them the Pay link from the same page. Their checkout shows the plan's normal price crossed out, then their rate, and it applies the rate when they subscribe.
The rate follows the member everywhere they can check out: the pay link, your membership reminders, and their own dashboard.
After they subscribe
Once they subscribe, the rate becomes their ordinary member discount. It shows in the Discount control on the same page, and you can remove it there; full price starts on their next billing cycle. See Assigning a member a discount.
If you set first month only, their second month is billed at the plan's normal price automatically.
Good to know
- One rate per member. Setting a new one replaces the old one.
- Tax is added on top. If your gym charges sales tax, the rate is the price before tax.
- Price changes are safe. The rate is worked out against the plan's price at the moment they subscribe. If you raise the plan from $150 to $160, they still pay $80. If you drop the plan to $75, the rate no longer saves them anything, so it isn't applied, and the member page tells you.
- Your discount limits still apply. If you've set a minimum price or a maximum discount, a rate that breaks it is refused, both when you set it and when they subscribe.
- Changed your mind while they're at checkout? If you remove or change the rate while their checkout page is open, the checkout refuses and asks them to refresh. Nobody is charged a price they weren't shown.
When it's not available
- The member already has a subscription. Use the Discount control instead.
- The member is billed off-platform, or your gym doesn't use CombatScore recurring billing. See Off-platform billing.
- Family (household) checkout doesn't apply special rates yet. Have the member subscribe on their own, or give the household a discount code.
Every rate you set, change, or remove is recorded in your audit log.
